How Monezzi collects, uses, shares, retains and protects your personal information when you use our US LLC formation and ongoing compliance services.
1. Introduction
This Privacy Policy explains what personal information Monezzi collects from you, why we collect it, how we use it, who we share it with, how long we keep it, and what rights you have over it. It applies to our website, our customer dashboard, our emails, and every service we deliver under the Monezzi brand.
Monezzi provides US LLC formation, EIN application, registered agent service, annual state filings, federal tax filings (Form 5472 and Pro-Forma 1120), bookkeeping and related compliance services to founders living outside the United States. Delivering these services requires us to handle real identity, address and financial information — this Policy describes how we do that responsibly.
By using Monezzi you agree to the practices described here. If you do not agree, do not use the service. Cookies and similar technologies are covered in a separate document — see our Cookie Policy. Acceptable use of the platform is covered by our Terms of Use.
2. Information we collect
We collect personal information that you give us directly, information we receive from authorised partners, and information that is generated automatically as you interact with our platform. Categories below are illustrative, not exhaustive.
Account and contact details
Name, email address, phone number, country of residence, preferred language and timezone, password (stored as a one-way hash, never in plain text), and the account preferences you set inside the dashboard.
Identity and Know-Your-Customer information
Full legal name, date of birth, government-issued identification (passport, national ID), residential address proof, beneficial-ownership declarations and politically-exposed-person disclosures where required. We collect these to comply with US federal beneficial-ownership rules, banking partner onboarding, anti-money-laundering and counter-terrorism-financing obligations.
Company formation information
Desired company name, state of formation, business purpose, members and managers, ownership percentages, EIN (Employer Identification Number) application data and your operating agreement details — everything required to file with the state Secretary of State and the IRS on your behalf.
Billing and payment information
Subscription plan, invoice records, billing address, the last four digits of payment cards used, and payment status. Full card numbers and security codes never reach Monezzi servers — they are tokenised directly by Stripe under PCI DSS scope.
Usage, device and security signals
IP address, browser and operating system, device type, screen size, the pages you visit, the actions you take inside the dashboard, login timestamps, two-factor authentication state, and basic behavioural signals used for fraud prevention and analytics. We do not perform tracking-pixel re-marketing on you outside of the platforms named in the third-party section below.
3. How we use your information
We use personal information only for the purposes described below. The lawful bases we rely on are: performance of a contract with you, compliance with a legal obligation, our legitimate interest in running the service, and your consent where required.
- Delivering the services you bought — LLC formation, EIN application, registered agent representation, annual state report filing, federal tax preparation, bookkeeping and document storage.
- Verifying your identity and beneficial-ownership status to satisfy US, EU and UK anti-money-laundering rules and the requirements of our banking partners.
- Communicating with you about your account — confirmations, deadline reminders, government correspondence forwarded by your registered agent, support replies and security notices.
- Processing payments, issuing invoices and recovering past-due balances.
- Preventing fraud, abuse, account take-over and other unauthorised use of the platform.
- Improving the product — diagnosing bugs, understanding which features founders actually use, and translating content into the four languages we support.
- Sending marketing emails about Monezzi services where you have opted in; you can withdraw consent at any time from the email footer or your account settings.
5. Service providers we share data with
To deliver the service we share specific personal information with carefully selected providers. Each is bound by a written data-processing agreement that restricts use to the purpose we authorised. We do not sell your personal information to anyone.
- Stripe — payment processing, invoicing and subscription billing. Card numbers and security codes are tokenised directly by Stripe.
- US banking partners (Mercury, Wise Business and similar) — when you choose to open a US business account, we forward the KYC information you authorised so the bank can complete onboarding.
- US state Secretaries of State and the Internal Revenue Service — we file company formation paperwork, annual reports, EIN applications and federal tax forms on your behalf.
- Email and SMS providers (SendGrid, Twilio and similar) — for transactional and consented marketing messages.
- Privacy-aware analytics tools — anonymous usage statistics so we can see which parts of the product founders rely on.
- Cloud hosting and document storage (US data centres) — to run the platform and keep an encrypted copy of your filings and certificates.
- Legal, tax and audit advisors under confidentiality — only when their input is needed to deliver your service or defend a legal claim.
6. International data transfers
Monezzi delivers US LLC formation, so by design your information will leave your country of residence and reach the United States. If you are located in the European Economic Area, the United Kingdom or another jurisdiction with similar rules, this means a cross-border transfer.
We rely on Standard Contractual Clauses approved by the European Commission and equivalent UK addendum where applicable. Where a US partner is required by law to receive your information (the IRS, a state Secretary of State, a banking partner), the transfer is necessary for the performance of the contract you signed with us.
7. EU and UK GDPR rights
If you are located in the European Economic Area or the United Kingdom, Monezzi acts as the data controller for the personal information you provide to us as a customer. The lawful bases we rely on are performance of a contract, compliance with a legal obligation, legitimate interest and — where required — your consent.
You have the right to request access to your data, rectification of inaccurate data, deletion (subject to the legal retention periods set out below), restriction of processing, portability of data you provided in a machine-readable format, objection to processing based on legitimate interest, and withdrawal of consent at any time without affecting the lawfulness of earlier processing.
To exercise any of these rights, write to privacy@monezzi.com. We respond within one month. If you believe we have not handled your request properly, you may complain to your national data-protection authority — in the United Kingdom that is the Information Commissioner's Office (ICO).
8. California privacy rights (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act and the California Privacy Rights Act give you the right to know what personal information we collect about you, the right to delete personal information we hold, the right to correct inaccurate information, the right to limit use of sensitive personal information, and the right to opt out of any sale or sharing of personal information.
Monezzi does not sell personal information for money and does not share it for cross-context behavioural advertising. The categories of information we collect and how we use them are listed throughout this Policy.
To exercise your California rights, write to privacy@monezzi.com with the subject line California Privacy Request. We verify your identity before we act on a request and respond within 45 days. You may also designate an authorised agent in writing.
9. How long we keep your information
We keep personal information only for as long as it is needed for the purpose we collected it for, and then we delete or anonymise it. The retention periods below reflect US federal, state and banking-partner requirements that apply to formation and tax services.
- KYC, beneficial-ownership and anti-money-laundering records: seven years from the end of the customer relationship, in line with US Treasury and banking-partner rules.
- Invoices, payment records and tax-relevant financial data: seven years from the end of the tax year, in line with US tax record-keeping requirements.
- Government filings (state formation documents, EIN letters, annual reports, Form 5472 and Pro-Forma 1120 packets) and registered-agent correspondence: retained for the lifetime of the entity plus seven years.
- Account profile, dashboard preferences and support history: while your account is active, then deleted or anonymised within two years of closure.
- Marketing consent records and unsubscribe lists: kept for as long as needed to respect your opt-out choice.
- Security and audit logs: up to two years, longer where a specific investigation is open.
10. Your rights and how to use them
Regardless of where you live, you can ask Monezzi to:
- Give you a copy of the personal information we hold about you.
- Correct anything that is wrong or out of date.
- Delete your account and the personal information attached to it, subject to the legal retention periods above.
- Export the data you gave us in a structured machine-readable format.
- Restrict or object to specific kinds of processing.
- Withdraw any consent you previously gave — including marketing consent — without affecting earlier processing.
The fastest way to exercise these rights is to log in and use the settings inside the dashboard. You can also write to privacy@monezzi.com. We verify your identity first and respond within the legal deadlines that apply to you (one month under GDPR, 45 days under CCPA).
11. Children
Monezzi is a business service intended for adults. We do not knowingly collect personal information from anyone under 18 years of age and the platform is not directed at children. If you believe a minor has submitted personal information to us, contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time to reflect new features, new partners, or changes in the law. The Last updated date at the top of the page always shows when we last changed it. Material changes are notified in advance by email or inside the dashboard so you have time to review them before they take effect.
